Spring call talking points for mentors whose mentees will be in high school next year

Below is a script to help structure calls with mentors who have mentees in grades 9-11. The purpose of these calls is to reflect on the year, prepare for summer and plan for the fall.

Introduction

A. Outline the Call

Should take approximately 15 min. Purpose is to check in, reflect and talk about summer/next year.

B. General Thank You 

For the call, supporting mentee / I’m looking forward to continuing to support you.

C. Confirm & Update Contact Info (in iMi)

Phone(s), Email, Employer



Updates on Match [PC Note: this could be content of your summary note]

A. Match status

How are things going? (use iMi pair rater, if helpful)

How has this year been overall? (Most rewarding? Challenging? Learned anything?)

What goals have you worked toward and what is your progress?

B. Feedback to mentor [PC Note: Reference your Mentor Quality Rubric]

Highlight (2) strengths

Discuss area for growth/focus either for EOY or next year.



Match Status

A. If PC planned to discuss closing the match due to Mentee Participation (Mentee moving, etc.)

  • Share mentee’s plans as relevant
  • Ask Mentor if they would be interested in being in a new match next year- MAYBE is an acceptable answer, Screening will reach out.
  • Please capture any mentor preferences in the Spring Call Tracker and Summary Notes.


If Mentor wishes to be in new match -- Please communicate the following the mentor: “Thank you for letting me know about your interest in being matched again next year.  I am going to pass your information along to the Screening team and they will be in touch with you about next steps.”  Do NOT indicate one way or the other that a mentor will be guaranteed a particular school or spot in program next year.


B. IF PC planned to discuss closing the match due to Mentor Participation (Poor participation, Safety concern, etc.)

  • Discuss why
  • When appropriate, ask Mentor if they would be interested in being in a new match next year [PC note: MAYBE is an acceptable answer, Screening will reach out.
  • Please capture any mentor preferences in the Spring Call Tracker and Summary Notes.


If Mentor wishes to be in new match -- Please communicate the following the mentor: “Thank you for letting me know about your interest in being matched again next year.  I am going to pass your information along to the Screening team and they will be in touch with you about next steps.”  Do NOT indicate one way or the other that a mentor will be guaranteed a particular school or spot in program next year.


C. If Mentor tells PC they do not wish to continue during Spring Call

  • Determine why the mentor wishes to end the match
  • When appropriate, ask Mentor if they would be interested in being in a new match next year [PC note: MAYBE is an acceptable answer, Screening will reach out.
  • Please capture any mentor preferences in the Spring Call Tracker and Summary Notes.


If Mentor wishes to be in new match -- Please communicate the following the mentor: “Thank you for letting me know about your interest in being matched again next year.  I am going to pass your information along to the Screening team and they will be in touch with you about next steps.”  Do NOT indicate one way or the other that a mentor will be guaranteed a particular school or spot in program next year.




Summer Expectations

A. Expectations for Mentor

i. We encourage you and mentee to continue to develop your relationship by communicating and meeting over the summer at the iMentor Office.  Conversations is a great way to stay in touch.

ii. This is a great opportunity to help MENTEE develop planning skills. What support will you and your mentee need to make your summer plans a reality?

iii. IMO is open during the summer from 5-7 PM on Mondays and Wednesdays. 

iv. You can arrange an alternative time to meet with your mentee at the iMO – please reach out to me.

v. If OOP approved: Review OOP Guidelines.  Remember to still request OOP meetings at least two days ahead of time.

Housekeeping

A. Survey reminder: Survey is open from May 2nd – June 3rd (PC NOTE – We will be keeping the survey open through June 30th with specific outreach to mentors).

D. PC Role Transition: Announce as necessary and possible that PC is leaving and who will be supporting cohort during summer (if known).
